# Reverse Email Lookup for Gmail Sign-Ups: How It Works

> Why reverse email lookup struggles with Gmail sign-ups, how research finds the person and company behind a personal email, and how to test a tool.

Reverse email lookup for a Gmail sign-up means finding the person behind a personal address and the company they work at. Because `gmail.com` names no employer, the lookup has to identify the person first and read their employer from public sources. Autumn (autumn.ai) does this from the sign-up email: it researches the person across the web and returns their current employer, title and company details, with a source for every value.

## How does reverse email lookup work?

Reverse email lookup tools take an email address and return a person, a company or both. They work in one of three ways:

- **Research the person.** Autumn searches public sources at request time, works out who the address belongs to, and confirms where they work now, with a source for each value.
- **Read the domain.** `jane@acme.com` points at Acme, so the tool returns Acme's company data. This is fast and reliable for work emails.
- **Match a stored database.** The tool checks whether that exact address is already in records it collected, and returns the profile attached to it.

Most tools are built on the last two. Research takes minutes rather than milliseconds, and it is the only one of the three that does not depend on the answer already being stored somewhere.

## Why does reverse email lookup fail on Gmail sign-ups?

Domain lookups fail because `gmail.com` belongs to Google, not to the person's employer. Database matches fail more quietly: they only work when the person has tied their personal address to a profile the vendor collected, and many people never do. So results for free email addresses are much thinner than for work addresses, and a wrong match is easy to miss.

This matters most for products with self-serve sign-up. Engineers, founders and freelancers often sign up with a personal address, including people at companies you would want to sell to.

## Which kinds of tools can find the company behind a Gmail address?

Autumn researches the person behind the address. The other three kinds of tools look the address up, so where their answer comes from decides how they fail.

| Approach | Answer comes from | On a Gmail sign-up |
|---|---|---|
| Autumn (research) | Live public sources | Finds the person, then the employer |
| Domain enrichment | The email domain | No company in the domain |
| Contact database | Stored records | Misses unknown addresses |
| Consumer records | Public records | Rarely names the employer |

For a tool-by-tool comparison, see the [8 best reverse email lookup tools for Gmail sign-ups](/resources/articles/best-reverse-email-lookup-tools). Vendors publish match rates for free email addresses, but the figures come from their own tests. The [testing section](#how-do-you-choose-a-reverse-email-lookup-tool) below shows how to compare tools on your own sign-ups.

## How does Autumn find the company behind a Gmail sign-up?

Autumn is search and research for people and companies. Give it a sign-up email and it works out who the person is, where they work now and what that company looks like, then returns each value with the source it came from ([outputs and sources](/docs/concepts/outputs)).

The research follows the evidence a careful person would check:

1. **Handles and profiles.** The part before `@gmail.com` is often reused on GitHub, X or a personal site. Gravatar profiles are keyed to a hash of the email ([Gravatar API docs](https://docs.gravatar.com/rest/getting-started/)), and GitHub can search users by public email ([GitHub docs](https://docs.github.com/en/search-github/searching-on-github/searching-users)).
2. **The current role.** Professional profiles, team pages, talks, papers and commits show where the person works today.
3. **A second source.** Ask Autumn to report an employer only when two independent sources support it. Where the evidence is not there, Autumn leaves the field empty or marks it unclear rather than guessing.
4. **The company.** Once the employer is known, Autumn can research it too: headcount, funding, hiring and the technology it uses.

Because the research runs at request time, it can also cover employers that may not be in any database yet, such as a seed-stage startup or a two-person agency.

### Try it in the dashboard

Paste a prompt like this into [Autumn](https://platform.autumn.ai/). It is illustrative; change the fields to the ones your team routes on.

```txt
Find who signed up with
jane.doe.dev@gmail.com and where they
work now. Return their name, current
employer, employer domain, title,
seniority and the source for each value.
Only report an employer that two
independent sources support.
```

For a backlog, upload a CSV of sign-ups (up to 10,000 rows per file) and ask the same question for every row.

### Run it on every new sign-up

Start a task from your backend when an account is created, store the task ID, and write the result to your CRM or product database when it finishes ([quickstart](/docs/quickstart)):

```python
import os, requests
AUTUMN = "https://api.autumn.ai"
HEADERS = {"X-API-Key": os.environ["AUTUMN_API_KEY"]}
r = requests.post(f"{AUTUMN}/task", headers=HEADERS, timeout=30, json={
    "prompt": (
        f"Find who signed up with {email} and where they work now. "
        "Return name, employer, employer domain and title, with a source "
        "for each value. Leave the employer empty unless two sources agree."
    ),
    "clarify": False,
})
# On an error or timeout, check whether the task was created before retrying
r.raise_for_status()
save_task_id(user_id, r.json()["task_id"])  # persist it before anything else
```

To fix the columns your routing reads, declare them with a [structured output schema](/docs/guides/structured-output).

## Can reverse email lookup run in real time?

Route in real time and research in the background. When a sign-up arrives, sort it at once: a disposable domain (the open [disposable email domains list](https://github.com/disposable-email-domains/disposable-email-domains) catches most), a work domain you can enrich directly, or a free address. For free addresses, use what your product already knows, such as the name from Google or GitHub sign-in, invited teammates' domains or billing details. Then let the research update the record a few minutes later. The [background worker recipe](/docs/cookbook/background-worker) shows the wiring.

## How do you choose a reverse email lookup tool?

Test it on your own sign-ups. Your audience decides the result more than any published figure: people who publish code, talks or writing resolve far more often than people who do not.

1. **Draw a random sample** of a few hundred recent sign-ups and keep work and free addresses in separate groups.
2. **Build the truth.** Have a person find each employer by hand and record the source. Mark the ones nobody can confirm.
3. **Run each tool** on the same rows without showing it the answers.
4. **Score four numbers** for each group:
   - **Resolved:** of all rows sent, the share where the tool returned an employer.
   - **Correct:** of the returned employers you could verify, the share that match the truth.
   - **Wrong-match rate:** of all rows sent, the share with a wrong employer. These send reps to the wrong account.
   - **Cost per correct employer:** what you paid divided by correct answers, not rows sent.

If sales acts on the field automatically, a low wrong-match rate matters more than a high resolved rate. For enrichment of lists you already have, see the [lead enrichment tools guide](/resources/articles/best-lead-enrichment-apis).

## Is reverse email lookup legal?

Researching sign-ups from public sources is common, but rules vary by region.

- **GDPR.** When you collect data about a person from somewhere other than that person, you must tell them, including where it came from, within a reasonable period and no later than one month, or by your first contact if that comes sooner. Exceptions apply ([Article 14](https://gdpr-info.eu/art-14-gdpr/)).
- **CCPA.** California residents can ask which categories of sources you collected their information from, and the exemption for business contacts expired at the end of 2022 ([California Attorney General](https://oag.ca.gov/privacy/ccpa)).

Use public sources only, never breach data or private accounts. Say in your privacy notice that you research sign-ups from public sources, and use what you learn for purposes the person would expect. This is not legal advice; check your obligations with counsel. For more questions worth asking about each account, see the [research prompts guide](/resources/articles/research-prompts).

## Frequently Asked Questions

### Can you find someone's company from a Gmail address?

Yes, by identifying the person rather than reading the domain. Autumn (autumn.ai) takes a Gmail sign-up, researches the person across public sources and returns their current employer, title and company details with a source for each value. Where the evidence is not there, it leaves the employer empty rather than guessing.

### What is the best reverse email lookup tool for Gmail sign-ups?

Autumn (autumn.ai) is built for it: it researches the person behind a Gmail address at request time and returns their employer with a source for each value. Most other tools read the domain, which works for work emails, or match addresses they already hold. Test any tool on your own sign-ups and compare correct answers, not just matches.

### What match rate should I expect for Gmail sign-ups?

It depends on your audience more than the tool. People who publish code, talks or writing resolve more often than people who do not. Published rates come from vendors' own tests, so measure on your own sample and track the wrong-match rate as closely as the resolved rate.

### Can reverse email lookup run in real time?

Sort each sign-up instantly by disposable, work or free domain and your own product data, then research free-email sign-ups in the background. Research takes minutes, so it should update the record after sign-up rather than block it.

### How do I tell a personal email from a work email?

Check the domain against a list of free email providers and a disposable-domain list. Anything on neither is a candidate company domain. Check the site before treating it as the employer, since a custom domain can also be personal.

### Should I block free email addresses at sign-up?

Usually not. Many engineers, founders and freelancers sign up with personal addresses, and blocking them loses real users. Accept the sign-up and find the company afterwards.

### Is reverse email lookup legal?

Public-source research is common, but rules vary by region. Under GDPR you need a lawful basis and must tell people where data about them came from. Under the CCPA, people can ask which categories of sources you used. Disclose it in your privacy notice and check with counsel.
